When Zoho CRM wins

Zoho is the right call when…

  • You want the full Zoho suite. Zoho One bundles 40+ apps — Books (accounting), Desk (support), Mail, Projects, Campaigns, Inventory, SalesIQ. If you'll use 5+ of those, the suite economics make sense.
  • You're already a Zoho shop. Your finance team runs on Zoho Books, your support team on Zoho Desk. Adding Zoho CRM keeps everything in one login and one vendor relationship.
  • You need enterprise workflow depth. Zoho's Blueprint lets you model multi-stage approval chains with conditional branching, SLAs, and escalations. HARi covers 90% of SME workflow needs, but not the heavy approval-matrix scenarios.
  • You have a dedicated CRM admin. Zoho's depth is a feature when you have someone whose job is to configure it. For SMEs without one, that depth becomes a tax.
  • India / US market focus. Zoho's data centers, sales coverage, and partner ecosystem are strongest in IN and US. If that's your main market and your team, the local fit matters.
When HARi wins

HARi is the right call when…

  • You want flat pricing. HK$1,990/month, unlimited users. Hiring three people next quarter doesn't add a line item. Zoho at US$23/user × 15 people is ~HK$2,700/mo — and climbing.
  • You want AI built in, not bolted on. Grok-powered writing, summaries, enrichment and search are on every HARi plan. Zoho's Zia is gated behind Enterprise (US$40/user) — a US$20-50/user/mo premium.
  • You need to be running by Friday. HARi signup is 4 fields; a seeded CRM loads in under a minute. Zoho realistically needs days to weeks of configuration (or a paid partner) before it's usable.
  • WhatsApp is your primary channel. HARi speaks WhatsApp natively — send, receive, templates, HK numbers. Zoho requires a separate WhatsApp Business add-on or a partner integration.

Questions teams ask before switching

Can I migrate my Zoho CRM data to HARi?

Yes. Export your modules from Zoho as CSV (Setup → Data Administration → Export), then use HARi's CSV import for each entity — contacts, companies, deals, custom modules. Relationships are preserved if you export the related IDs. For workflows and custom fields, recreate them in HARi's schema editor (most SMEs only use a handful). A typical migration takes an afternoon for a 5,000-record tenant.

Does HARi integrate with Zoho Books / Desk / Mail / Projects?

Not with a one-click connector today. You can bridge them via Zapier, Make, or direct webhooks — HARi exposes a full REST API and emits webhooks on every record change, so any mid-code team can wire the flow they need. If Zoho Books is critical to your invoicing, that's a real reason to stay on Zoho for now.

Is HARi cheaper than Zoho Bigin (US$7/user)?
