Importing Contacts

HARi CRM makes it easy to bring your existing contacts in from a spreadsheet. Whether you have a CSV export from another tool or an Excel file, the import wizard walks you through every step.

Before importing, make sure your file is in CSV or Excel (.xlsx) format. Each column should represent a field (name, email, phone, etc.) and each row should be one contact.

Tips for a clean import:

  • Remove any summary rows or totals at the bottom of the spreadsheet
  • Make sure email addresses are in a single column (not split across fields)
  • Dates should be in a consistent format (e.g. YYYY-MM-DD)
  • Remove any completely empty rows
  1. Navigate to Contacts in the sidebar
  2. Click the Import button in the top toolbar
  3. Select your CSV or Excel file and upload it
  4. HARi displays a preview of your data with the first few rows

After uploading, the import wizard shows a mapping screen where you connect your spreadsheet columns to HARi fields.

  1. For each column in your file, select the matching HARi field from the dropdown
  2. HARi auto-suggests mappings based on column header names (e.g. “Email” maps to the email field automatically)
  3. Skip any columns you do not want to import by leaving them unmapped
  4. Click Next to proceed

If your spreadsheet contains company names instead of IDs, HARi handles this automatically. The smart lookup resolver matches text values (like “Acme Corp”) to existing records in your database. If a match is found, HARi links the contact to that company. If no match is found, you can choose to create the company automatically or skip the link.

Before finalizing the import, HARi scans for duplicates based on email address and name. Potential duplicates are flagged so you can choose to skip them, merge them, or import them as new records.

  1. Review the flagged duplicates
  2. Choose your preferred action for each (skip, merge, or create new)
  3. Click Import to finalize

Once the import completes, HARi shows a summary: how many records were created, how many were skipped, and how many had errors. You can download an error report for any rows that failed validation.
