Email Setup
Section titled “Email Setup”HARi CRM lets you send emails directly from any record. Connect your email provider once, and your team can send tracked emails, use templates, and log every interaction automatically.
Connecting Email
Section titled “Connecting Email”HARi supports two email sending methods:
Option 1: SMTP (Your Own Email Server)
Section titled “Option 1: SMTP (Your Own Email Server)”Use this if you want emails to come from your company’s email domain (e.g. you@yourcompany.com).
- Go to Settings > Email Configuration
- Select SMTP as the provider
- Enter your SMTP details:
- Host (e.g. smtp.gmail.com, smtp.office365.com)
- Port (typically 587 for TLS)
- Username (your email address)
- Password (your email password or app-specific password)
- Encryption (TLS recommended)
- Click Test Connection to verify
- Click Save
Option 2: Plunk (Built-in Transactional Email)
Section titled “Option 2: Plunk (Built-in Transactional Email)”Plunk is a transactional email service integrated into HARi. It is ideal if you do not have an SMTP server or want a simple setup.
- Go to Settings > Email Configuration
- Select Plunk as the provider
- Enter your Plunk API key (available in your Plunk dashboard)
- Click Save
Email Templates
Section titled “Email Templates”Templates let you create reusable email formats with dynamic fields that get replaced with record data.
- Go to Settings > Email Templates
- Click New Template
- Enter a template name (e.g. “Welcome Email”, “Follow-Up After Meeting”)
- Write your email body using merge fields like
{{contact.first_name}},{{company.name}}, or{{opportunity.value}} - Save the template
When sending an email from a record, select a template and HARi fills in the merge fields automatically.
Tracking Opens and Clicks
Section titled “Tracking Opens and Clicks”HARi tracks whether recipients open your emails and click any links inside them.
- Open tracking — A small invisible pixel is embedded in the email. When the recipient opens the email, HARi logs the event.
- Click tracking — Links in your email are wrapped so that HARi can log when they are clicked before redirecting to the destination.
Tracking data appears on the record’s timeline, so you can see exactly when a contact engaged with your message.
Sending Email from a Record
Section titled “Sending Email from a Record”- Open any record (Contact, Company, Opportunity, etc.)
- Click the Email action button
- The “To” field is auto-filled from the record’s email field
- Choose a template or write a message from scratch
- Click Send
The email is logged on the record’s timeline automatically.
