Archived workspaces

An archived workspace is one HARi has parked. You can still sign in, open records, and download them as CSV. You cannot change anything. To turn it back on, contact HARi at support@haricrm.com. A banner across the top says this, and it names the day the archive ends.

Amber banner on the dashboard: the workspace is archived until 10/13/2027, you can still sign in, browse and export CSV, and reactivation means contacting HARi

Archiving parks the whole workspace. It is not the same as hiding one record, and it is not the same as closing the workspace yourself. Someone on your team can put a hidden record back. Only HARi can turn an archived workspace back on. The banner is the same for everyone who signs in.

Sign in with the same email and password. Open lists and records and read them.

Download a list as CSV. Open the list, such as Contacts or Companies, and use Export. The file contains the rows you can already see. Do that for each list you need. A full copy of the whole workspace is prepared in the background, and background work is stopped, so that copy does not run while the workspace is archived. See CSV export.

Sending, syncing, automations, and AI stop. Email that was waiting is not sent. A scheduled campaign does not go out. A sync with another system does not run. Automations do not move forward. The AI assistant and queued suggestions do not run. Saving a change, or creating a record, is refused.

HARi keeps an archived workspace for 12 months from the day it was archived. The banner shows that end date.

About 30 days before that date, every administrator gets an email. It names the day a 30-day closing period starts, and it reminds you to export CSV while you still can. Reply to that email, or write to support@haricrm.com, if you want to keep the workspace.

When the 12 months end, the workspace enters that closing period and stays read-only. An administrator can cancel the closure from Settings → Billing, the same way as a workspace they closed themselves. After those 30 days, the workspace and everything in it are permanently deleted.

The UK Information Commissioner’s Office states the rule in one line: “You must not keep personal data for longer than you need it.” (ICO, storage limitation). IBM’s 2024 Cost of a Data Breach Report found the global average cost of a data breach reached USD 4.88 million (IBM, 30 July 2024). A parked workspace still holds personal data. Twelve months, a reminder, then a closing period is a stated end.

Anything that came due while the workspace was archived is cancelled. It is not sent late. A campaign that was waiting does not go out. An email that was waiting is not delivered. An automation that was waiting does not catch up. A sync that was still running is dropped, and AI suggestions that were queued are dropped. A recurring invoice does not issue the bills it missed. The next one is the next date after the workspace is back. The workspace is active again within about a minute. You see that the next time you load a page.

Write to support@haricrm.com. There is no button inside the workspace. The banner says the same thing. Name the workspace and say you want it turned back on.
